Your fire department is required to present an annual report to the mayor and city council at the next council meeting. Producing an annual report requires you be able to effectively communicate the purpose and needs of your department to vested stakeholders (e.g., mayor, city council, citizens). This type of communication is a crucial skill for an emergency services executive.
As the fire chief, you must prepare a report that communicates your organizational structure, operations, goals, and response analysis. This will be a written report, but must be supported and augmented by charts, graphs, photographs, or other supplemental additions necessary to communicate your message.
You are encouraged to use your own department (or one you are familiar with) as the basis of this assignment, as it better facilitates the research for information needed to meet the requirements of the report. Use fictitious names to protect privacy. Alternatively, you may also create a hypothetical department for the purposes of this assignment. Should you choose this option, ensure the details and specifics in the report are as realistic as possible.
Your annual report must include the following items:
a brief introduction that identifies to your department the purpose of this annual report;
an overview of your department’s organizational structure (Defend your purpose and rationale for organizing your department as you have. Include an organizational structure chart as an appendix at the end of your report.);
an explanation of how structure, process, behavior, mission, goals, and objectives effect the organization as a whole (Tip: This is where you are communicating your leadership vision as the fire chief.);
a summary of department divisions, skills, and tasking, including how they contribute to the overall operations and goals of the organization; and
an analysis of the past year’s emergency response efforts, which you will use as a baseline for projecting trends in emergency and non-emergency service calls for the coming year.
You must use a minimum of one, but not more than two graphics (e.g., chart, graph, image) per page in your annual report. You must use at least two sources outside of your graphics and any department statistical data to support your views or analysis. These sources should be academically or industry reliable. All sources used, including images and real statistics or data, must have properly formatted citations
