You have been employed as a team of Project Managers to prepare the planning documents ready for approval and possibly the provision of funding for one of the following cases:

The AGM for a FTSE 100 company. You will need to book a suitable venue and catering, invite all the required people including the press, distribute literature in advance, arrange a keynote speaker and make the event as inspiring as possible.

An Easter tour to Holland for a Kingston University sports team – including travel and accommodation plans and costs and arrangements for fixtures etc.

The opening of a new branch of a well-known supermarket chain in Kingston-upon-Thames. You can assume a suitable site with appropriate planning permissions has been purchased. All other work to ensure a successful opening needs to be planned.

An open day to promote the conference facilities at Sandown Park. A great local facility that you will need to arrange the format for the day, organise visitors and guests, catering and parking arrangements

A careers day for Sixth Form students at a local secondary school. To help students decides their next steps you will need to decide how to attract both students and companies to this important day

A summer tour to France for a Kingston University sports team – including travel and accommodation plans and costs and arrangements for fixtures etc.

Use the case study to complete the following tasks.

Title page and Contents – includes your name, KC ID numbers, module number and course name, word count for Task 1 and who uploaded electronic copy. A Contents page is needed.

Task 1 – Project Definition

Prepare a project definition which clearly highlights the objectives of the project and how success will be evaluated.

It will comprise:

: a short introduction explaining the purpose of the PD; a project description giving detail of what is involved: scope, detail, operational and financial targets.
: SMART objectives at least 3 clear objectives about what the project is aiming to achieve
: identification of key stakeholders – internal and external
: key milestones that will help track the progress of the project
: identification of the Critical Success Factors

Task 2 – Work breakdown structure

Produce a work breakdown structure. Aim at listing a minimum of 50 activities  and illustrate the breakdown with a tree diagram. The breakdown should have a clear logical basis, although technical details may vary. Create your own category names as required and remember that there can never be only one right way for projects of this nature.

Task 3 – Responsibility Matrix

Develop a responsibility matrix using at least 2 streams highlighted in your work breakdown structure clearly showing the assignment of each task. Include a sheet to explain the purpose of the RM and explanation of your coding system.

 

Task 4 – Work Schedule

Produce a work schedule using MS Project that uses the packages created in Task 2. Create your own time estimates, resource requirements and summary costs based on your research and remember that there can never be only one right way for a project of this nature, as long as you justify your choice.

Task 5- Project Management Risk Analysis

Produce an essay essay that explains the processes of Risk Management and then produce a Risk Register based on the virtual project with a paragraph of analysis for each risk explaining how the risk has been assessed and why a particular mitigation strategy is judged to be most appropriate.

Explain in an essay the processes involved in Risk Management for projects.

Produce a Risk Register with a minimum of 6 risks with analysis to explain them and the mitigating strategies.

You will use the Risk Register Template to submit Task 5

Task 6 – Group log with personal summary from each person

You must create a group log of a minimum of eight weekly progress reports to evidence how the team in group meetings managed the planning of the project. The full log will be submitted as a Word file.

This will also include at least half a page detailing each member’s individual contribution.
You will use Template provided.
